What You Need to Do

First, we recommend you review the GDPR Legislation and the definition of Personal Data.

Next, please view the appropriate column in the table below based on the location your account was created.

 

EU/EEA ACCOUNTS REST-OF-WORLD ACCOUNTS
 Printed content You need to audit and understand what content is being printed within your organization. Documents which includes Personal Data must be managed under your GDPR policy. To understand what qualifies as Personal Data please read more here. If you manage Personal Data for EU residents, please refer to the left column.
 Print workflow Audit You need to audit your Print workflow to ensure that documents that include Personal Data are not being tracked or stored. You need to audit your Print workflow to ensure that documents that include Personal Data are not being tracked or stored.
 Direct Printing Direct printing should be disabled. Documents containing personal data can accidentally be on a print tray. This is a potential security risk and a GDPR violation. Direct printing should be replaced by either a Follow-Me or a secure Pull-Print feature. If you manage documents or printable data, which may contain information about EU residents, please refer to the left column. Otherwise, take the opportunity to consider security risks in relationship to Direct Printing in general.
 IP Addresses No action is required. HCP hide or exclude IP addresses automatically, according to local law. You can disable IP exclusion for debugging and support purpose. However, we recommend keeping IP exclusions enabled. You may wish to hide IP addresses. If not, you can enable IP exclusion to help you track and monitor system usage for debugging and support purpose.
 Follow-Me Storage You should make sure that printed documents retained within a print queue are not stored longer than necessary and are automatically deleted after certain time period. You can ensure that printed documents retained within a print queue are not stored longer than necessary.
 Print Job Release mechanism You need a secure mechanism for users to release their print jobs. This can be solved by using Mobile Apps and QR-codes, Card/Card readers or via embedded MFP terminal Apps in combination with login and passwords.  Privacy Shield
Framework for the US Department of Commerce and European Commission/Swiss Administration is a mechanism to comply with data protection requirements when transferring data from the European Union/Switzerland to the United States in support of transatlantic commerce.
 Dispute Resolution
We appointed an independent dispute resolution mechanism for unresolved complaints related to privacy. Please contact BBB if you have an unresolved privacy complaint.

We never send data outside the region in which it is originally stored (Europe/EEA). We never send data outside the region in which it is originally stored (United States).
 Opt-Out
We respect opt-out and have a specific opt-out page where users can remove themselves from our newsletter and marketing information.
 Vulnerability Scans
We conduct external vulnerability scans on all public endpoints across our platform – at least once per year.
 Penetration Testing
We conduct external penetration testing on all public endpoints across our platform and our application itself – at least once per year.
 Security Policies & Training
We have strict policies/procedures and thoroughly train all staff on security and privacy best practices.

 What is EveryonePrint Hybrid Cloud Platform?

Hybrid Cloud Platform is a complete Print Management Infrastructure service, which includes all features needed to deploy and control a print environment that includes printing from network printers, multi-function printers and mobile phone/tablet devices.

 What information is collected?

Hybrid Cloud Platform can be installed either on-premise, within a private cloud environment or within the EveryonePrint Hosting center. Common to each installation is that the following information is collected:

  • Print Job Metadata
  • Printer usage
  • Application configuration data
  • Printed documents, only during processing
  • Verification/connection to LDAP/AD, if configured

All data is fully encrypted and held securely for a period of 1-12 months, depending on business situations.

 What can I do?

Data Access

If you wish to obtain a copy of your data*, please contact the system administrator where the data was collected/obtained (the Data Controller). If they are unable to process your request or do not respond in a timely manner, please contact us at privacy@everyoneprint.com

Data Correction

If you wish to correct your data*, please contact the system administrator where the data was collected/obtained (the Data Controller). If they are unable to process your request or do not respond in a timely manner, please contact us at privacy@everyoneprint.com

Data Erasure

If you wish to erase your data, please contact the system administrator where the data was collected/obtained (the Data Controller). If they are unable to process your request or do not respond in a timely manner, please contact us at privacy@everyoneprint.com

Revoking Consent

If you gave your consent to have information processed by EveryonePrint and wish to revoke it, please both contact the system administrator where the data was collected/obtained (the Data Controller) and us at privacy@everyoneprint.com
